Who we are

The Milverton Rod & Gun Club (“the Club”, “we”, “us”) is a non-profit shooting sports club based in Milverton, Perth County, Ontario, Canada. This policy explains how we handle personal information you provide through this website.

What we collect

• Membership applications: name, email, phone, interests and any message you send us.
• Contact form: name, email, subject and message.
• Member accounts: name, email, phone, sign-in credentials and policy-acknowledgement timestamp.

We do not collect firearms licence (PAL/RPAL) numbers through this website. We do not use advertising trackers or third-party analytics profiling.

How we use it

• To review and respond to membership applications.
• To reply to messages sent through the contact form.
• To operate member accounts, record policy acknowledgement, and communicate club business (events, closures, AGM).

We do not sell or rent personal information. We share it only with service providers who help us run the site (see below), with government agencies and regulators where required by law, and with the Club's insurer where required by our insurance coverage (for example, membership verification or an incident claim). We also collect an emergency contact name and phone number, used only to reach someone on your behalf in an emergency.

Where it is stored

Website data is stored in a managed Postgres database and authentication service operated by our hosting provider. Data may be processed on servers located outside Canada. All traffic is encrypted in transit (HTTPS/TLS) and encrypted at rest by the hosting provider. Access is controlled by row-level security rules so member data is only readable by that member and by club administrators.

How long we keep it

• Contact messages: kept for up to 24 months, then deleted.
• Membership applications: kept for the current membership year plus 2 years for our records, then deleted.
• Member accounts: kept while your membership is active; deleted on request or within 24 months of your membership lapsing.

Your rights

You may ask us to access, correct, or delete personal information we hold about you, and you may withdraw consent at any time. To make a request, or to ask a question about this policy, please contact us.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent change.
